TERMS & CONDITIONS

By using this system, you are granting Headliners the right to use the information to establish services with you. Using this system does not obligate you to participation, however you may be held subject to cancellation policies as set forth by the rules and regulations of this competition. This site, Headliners, and WAE Technologies, and any other providers are not responsible for the validity of the information provided by you.

REGISTRATION
Official online entries must be completed in their entirety. ALL entries must be registered under a studio account. Once submitted, all registered entries have agreed to the Release of Liability. Headliners is not responsible for mistakes made while entering routines, such as but not limited to age, category, level.

Entries will be accepted on a first-come, first-serve basis and will be limited to the amount of performance time available. Once a competition is announced as SOLD OUT, a non-refundable 25% deposit based on 100% of the entry fee will be required for studios who would like to guarantee their entries.  Deposits must be paid within 10 business days of being notified.

Events that are at 50% capacity or more may be subject to submitting a deposit. Deposits must be paid within 10 business days of being notified.

PRE-REGISTRATION ENTRY ESTIMATES
Entries are accepted on a first come, first serve basis. To secure your place at any Headliners event, studios must submit a PARTICIPATION AGREEMENT. The Nationals participation agreement is due by January 15th.

Studios that pre-register must accurately indicate the number of entries they intend to bring. If the number of entries falls below or above the space we are holding, a penalty will be assessed. Changes to estimated numbers of routines made before the 45 day registration deadline will not be assessed a fee. Studios will be contacted once an event is deemed sold out and must submit changes to number of entries within 7 days.

Changes to estimated entries will be as follows: 6-10 entries - $500, 11-15 entries - $1000, 16-20 entries - $1500, 21 or more entries - $2000

PAYMENTS
Once a studio creates entries in the online registration portal, they are liable for all entry fees associated with the entries in the studio/dancer account. Entry fees can be paid by studio check, money order, or credit card. Credit card payments are accepted directly through the studio account and will be assessed a service fee.. Any studios that pre-registered must submit final payment 45 days in advance or any incentives will be forfeited. All other balances must be paid in full 30 days prior to each event. Only certified checks or credit card payments will be accepted for balances due 30 -14 days prior to the event date. Only overnight certified checks or credit payments will be accepted for balances due 14-7 days prior to the event date. Credit card payments are required for balances due 7 days or less prior to the event date. Headliners does not refund for overpayment during the registration process. 

LATE ENTRIES AND CHANGES
In order to best guarantee placement into our competition, entries should be submitted online 45 days prior to each event. To secure placement, we recommend submitting our 2025 PARTICIPATION AGREEMENT by NOVEMBER 1, 2024. Entries received after the 45 day deadline will be considered on a case-by-case basis and will be accepted only if time permits and if the schedule is not adversely affected. Late entries accepted will be subject to a $20 PER ENTRY LATE FEE. Changes accepted after the final changes deadline, will be subject to a $35 PER CHANGE LATE FEE. Changes made the week of an event will incur a $50 PER CHANGE LATE FEE. A credit card will be required for processing (a service fee will apply).

RIGHT TO EXTEND
Entries are accepted on a first come, first serve basis. To secure your place at any Headliners event, studios must submit a PARTICIPATION AGREEMENT. The Nationals participation agreement is due by January 15th. Headliners reserves the right to extend any event to accommodate entries received. Headliners also reserves the right to close the competition prior to the deadline should the number of entries received exceed the time allotted. Headliners reserves the right to re-locate or re-schedule any event.

CANCELLATIONS
Any cancellations of entries by the studio will result in a loss of all deposits and entry fees for that event. All late entries and changes made after Final Confirmations are delivered will be subject to a $35 late fee per entry after the deadline date.

In the event of postponement due to inclement weather or government regulated shutdowns, studios will have the option to attend postponed dates or any additional cities within the same calendar year. 

REFUNDS
Headliners reserves the right to cancel any event that does not meet the minimum number of acceptable entries. In the event Headliners must cancel competition due to low enrollment, entry fees will be refunded in full. Deposits submitted are non-refundable and there are no refunds for entries if the required minimum number of acts are registered and the competition has been confirmed and/or rescheduled.

The only refunds considered are due to injury. If a dancer becomes injured, a doctor’s note is required for credit or refund to be processed. Doctor’s notes must be submitted via email to info@headlinersdance.com and will be processed after the event has taken place. Refunds are not processed until approved Doctor’s notes are received. The doctor's note must have explicit language about the injury causing an inability for the dancer to perform as well as the dates the dancer will be unable to perform.

If a technological problem occurs, photos, videos, and/or critiques are not guaranteed for each routine. Refunds will not be issued for any technological errors.
Judges' decisions are final. No refunds, credits, discounts will be applied for dissatisfaction of scores and/or results.

Headliners does not refund for overpayment during the registration process. 

DATES AND LOCATIONS
Headliners reserves the right to add additional competition days and/or change the date or location of a competition. Refunds will not be issued for date or location changes.

SPECIAL REQUESTS
Requests must be submitted on the registration page under “Special Requests.” All requests received via email are invalid until input into registration. Once the Schedule is created and the Final Confirmation emailed, entries that have to be moved and do not perform before their respective award session will not be eligible for Overall Awards or Titles. These routines will still be eligible for individual medal standings and special awards. National entries can not perform out of session and be eligible for Overall Awards.There are no refunds for conflicts that cannot be accommodated. If requests remain unentered, Headliners will not issue refunds or credits for accommodations not made.

UPDATE ACCOUNTS
Headliners is not responsible for inaccurate information on your studio account. Including but not limited to, name, studio point of contact, email, phone number, and mailing address. Account emails cannot be unsubscribed in order to ensure all confirmations and schedules can be received.

PHOTOS, VIDEOS, AND CRITIQUES
If a technological problem occurs, photos, videos, and/or critiques are not guaranteed for each routine. Refunds will not be issued for any technological errors.

NO PHOTO/VIDEO RESTRICTIONS
Headliners provides photo and video of all performances for free to the studios via a link approximately 2-5 business days after each event. The use of ANY electronic device for photography and videography is STRICTLY PROHIBITED during all performances and in dressing rooms. This rule provides for the protection of studio choreography as well as the protection of the dancers. Failure to comply with this rule may result in a point deduction to the act being recorded and/or photographed as well as confiscation of the recordings and/or photographs. It is the responsibility of the Studio Owner/Director to inform their students and parents of the NO Photo/Video rule. All studios/parents/dancers grant permission for Headliners to use photography and videography of their performances for promotional purposes including advertising, publicity and posting on social media outlets.

Dancers and their parents/guardians consent to the use of their photographs or videotaped performances for advertising or promotional purposes.

HOLD HARMLESS
The studio, it's representatives, performers, spectators and attendees ("STUDIO") HEREBY RELEASES AND HOLDS HARMLESS Headliners, their officers, officials, agents and/or employees, other participants, and if applicable, owners and lessors of premises used to conduct the event ("RELEASEES"), WITH RESPECT TO ANY INJURY AND ILLNESS (including COVID 19 or any other virus, flu or airborne illness), DISABILITY, DEATH, or loss or damage to a person or property, WHETHER ARISING FROM THE NEGLIGENCE OF RELEASEES OR OTHERWISE, to the fullest extent permitted by the law.

QUESTIONS/CONCERNS DURING EVENTS
Should anyone have any questions, we ask that they immediately seek out a Headliners staff member on site to have it addressed.

PRIVACY POLICY

Headliners does not rent, sell, or share personal information about you with other people or non-affiliated companies except to provide products or services you've requested, when we have your permission, or under the following circumstances:

  • We provide the information to trusted partners who work on behalf of, or with, Headliners under confidentiality agreements. These companies may use your personal information to help Headliners communicate with you about offers from Headliners and our marketing partners. However, these companies do not have any independent right to share this information.
  • We respond to subpoenas, court orders, or legal process, or to establish or exercise our legal rights or defend against legal claims.
  • We believe it is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of Headliners's terms of use, or as otherwise required by law.

Headliners reserves the right to withdraw or change the policies and procedures listed at any time.
